1. Who we are

This Privacy Notice explains how Pro Scout Data ("Pro Scout Data", "we", "us", "our"), the operator of the ProScout scouting workspace ("Service"), collects and uses personal data. For the personal data we handle to provide the Service to you, we act as the data controller.

For personal data our customers upload about players, coaches or other third parties, our customers are the controller and we act as the data processor on their behalf.

2. Personal data we collect

  • Account data — name, email address, hashed password, role (owner, admin, scout).
  • Profile data — organisation, club branding you choose to upload.
  • Content you upload — player profiles, scouting reports, match logs, shortlists, trials, injury history, media (photos, videos, documents).
  • Usage and telemetry — pages visited, actions taken, audit-log events, timestamps.
  • Device and technical data — IP address, browser type, device identifiers, error logs.
  • Support data — messages you send us and any information you include in them.

Payment card details and billing addresses are collected and processed by Paddle, our Merchant of Record, and are not stored by Pro Scout Data.

3. Why we use your data (purposes) and legal basis

  • Providing the Service — creating accounts, storing your content, showing the right data to the right users. Legal basis: performance of a contract.
  • Security, audit and fraud prevention — access logs, audit trails, abuse detection. Legal basis: legitimate interests in keeping the Service safe.
  • Support — responding to your questions. Legal basis: performance of a contract and legitimate interests.
  • Product improvement — understanding aggregate usage to improve features. Legal basis: legitimate interests.
  • Legal and regulatory — meeting our accounting, tax and other legal obligations. Legal basis: legal obligation.
  • Service communications — sending transactional emails about your account and important changes. Legal basis: performance of a contract and legitimate interests.

4. Who we share data with

  • Service providers (subprocessors) — hosting, database, storage, authentication and email delivery vendors that help us run the Service.
  • Paddle — our Merchant of Record for the sale of ProScout subscriptions, subscription management, payments, tax compliance and invoicing.
  • Professional advisers — such as lawyers and accountants where necessary.
  • Authorities — where required by law or to protect our rights.

We do not sell your personal data.

5. International transfers

Some of our service providers are located outside the UK/EEA. Where personal data is transferred internationally we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

6. How long we keep data

We keep personal data for as long as your account is active and for a reasonable period after cancellation to allow export, to satisfy legal obligations, and to resolve disputes. Content and account data are then deleted or anonymised. Audit logs and billing records may be retained for longer where required by law.

7. Your rights

Subject to applicable law, including the UK GDPR / EU GDPR where relevant, you have the right to:

  • access the personal data we hold about you;
  • request correction or deletion of that data;
  • restrict or object to certain processing;
  • request portability of data you have provided to us;
  • withdraw consent where processing is based on consent; and
  • complain to a supervisory authority (in the UK, the Information Commissioner's Office).

We will respond to verified requests within the time limits required by law (generally one month).

8. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, role-based permissions and audit logging. No system is completely secure, but we work to keep the Service safe and respond quickly to incidents.

9. Cookies

ProScout uses essential cookies and similar technologies to keep you signed in and to remember basic preferences. We do not use advertising cookies. Any analytics we use are limited to understanding how the Service is used.

10. Changes to this notice

We may update this Privacy Notice from time to time. If we make material changes we will give reasonable notice, for example by email or an in-app notice.
